Process and data management customer event was moved online
When our customer decided to move their multi-year customer event online – during the Covid-19 pandemic – we helped keep things together and made sure the technology was functioning. Live studio in Helsinki, real-time guest speaker in Paris, studio guests and a couple of pre-recorded speeches... We served everything as a carefully scheduled and seamless virtual experience for the event guests.
Our long-time customer Canon has organized the Process and Data Management Customer Day as a live event for several years. The event is an important meeting point for learning, networking and customer relationship management.
In 2020, we were faced with a new challenge: the coronavirus pandemic. The event that was planned for May was so important from a business point of view that cancelling it was not an option. It was decided that a virtual event would be held after the summer holidays.
We had previously helped Canon with the planning and implementation of several events, webinars and hybrid events, so no compromises were made with the content or quality.
Canon had set up a studio for video productions and virtual events in its Helsinki office. State-of-the-art filming equipment was also available in-house, wherefore the biggest challenges were to ensure adequate bandwidth and handle the management of the event overall.
The aim was to do the virtual event in accordance with the original event plan and schedule: by inviting several guest speakers to the "stage".
The event host appeared live at the Helsinki studio, followed by a guest speaker in Paris. At the end of his presentation, the moderator presented the guest with questions sent in by the participants. The speeches by a few other guests had also been prerecorded due to scheduling challenges. One representative of a client company also appeared in real time at the Helsinki studio, allowing face-to-face interaction between the host and the guest.
Thanks to advance preparation, the programme progressed on schedule and without major technical challenges. The transitions from the studio to the guest speakers and back again went smoothly. For the participants attending the virtual event, the interaction between the host and the guest speakers was smooth and pleasant, making it easy to keep focused.
